A GUIDE FOR AGENCIES

How to choose real estate agency software

Choose real estate agency software around the work your team does every day. Use six review areas and a 12-point checklist to compare property listings, CRM, records, website integration and total costs.

A useful demonstration should answer your agency’s questions: how to create a listing, find a property for a buyer, record a viewing and check the next task. A feature count on a sales page is not enough to assess fit. Prepare a fictional property and contact, without real personal data, and work through the following areas with the provider.

Real estate software comparison: what to check

Use the same example in each application and record whether a feature meets your team’s needs, requires extra setup or is unavailable. This table summarizes the criteria; the sections below explain how to check them.

1. Check devices and software access for your agents

List the devices your agents actually use: Windows office computers, laptops on visits and phones. Ask which devices run the full application, what is available outside the office and whether everyday work requires an internet connection.

Program Nek is designed for a Windows x64 client with an internet connection. The optional Android app approves sign-ins; it is not a full mobile CRM. If your team requires a complete CRM on a phone or Mac, clarify that requirement before purchasing.

2. Try property listings, photos and search

Choose an example that reflects your business: an apartment for sale, a retail unit for rent or a plot of land. Check location, price, features, owner details and agent assignment. Add photos and a document, change the cover image and find the property using filters.

Next, check what happens when the listing is no longer active. In Program Nek, archiving retains the record and excludes the property from active and public listings. Distinguish archiving, withdrawing a listing from a website and permanent deletion when agreeing your team’s procedures.

3. Test the CRM: buyer requirements and follow-ups

Create a sample buyer with a budget, preferred location and required features. Review matching properties, record a viewing and set the next follow-up date. Ask to see both the agent and administrator views to understand access permissions.

Check where the reminder appears and what a colleague sees in the history. In Program Nek, the follow-up date drives an internal reminder. Property matching helps the agent select listings but does not itself send an automatic email campaign to the client.

4. Distinguish contracts, payments, EOP and AML

These features often share a plan, but they are not the same register. Ask which information is entered once, what is transferred and what needs a separate entry. Check a contract draft, activation, a payment entry and an available report export.

Test a monthly report with rent due on 31 August and paid on 2 September. In Program Nek, charges follow the due date and receipts follow the payment date, so they belong to different periods. Currencies are shown separately. Change the date range or agent, apply the filters with Show report and download an XLSX or PDF to check what the export includes.

In Program Nek, CRM, contracts and payments, EOP and AML have different workflows. A saved sale does not automatically complete an EOP entry or an AML dossier. The designated AML officer should review access controls, evidence, sources and the decision workflow against the agency’s needs.

5. Confirm website integration and property portal support

“Website integration” and “publishing to portals” are different capabilities. Write down your site, the technology its maintainer uses and every portal where you advertise. Ask who builds the connection, what information is sent, how often it refreshes and what happens when a listing is withdrawn.

Program Nek provides a public API for selected properties and photos, which your maintainer connects to an existing site. Having an API does not confirm automatic synchronization with a particular external portal. Check the specific scenario before making an agreement.

6. Compare subscription, setup and migration costs

Alongside the subscription, check the cost of a domain, SMTP service, website integration, preparing existing data and team training. Agree what support includes and which exports you can obtain if you later change systems. Do not assume every old spreadsheet can be imported automatically.

Program Nek starts at EUR 50 per month for up to 5 accounts. Future renewal prices follow the registered account count under the pricing schedule; the final amount and taxes appear before purchase confirmation. You arrange your domain and SMTP account with your providers. For migration from another app, check the available formats and scope of help with support.

YOUR NEXT STEP

Finish the review with one concrete scenario

Ask a colleague who will use the app daily to enter a sample listing, find it for a buyer and record the next step themselves. Note where they needed help. That result, together with your completed question list, gives you a more useful basis for a decision than a long feature list.
