LESS SEARCHING, MORE CLARITY
Buyer and tenant management from enquiry to viewing
When the budget is in a message, the phone number is in a notebook and a colleague knows the viewing time, following up gets harder. A contact profile brings together the information an agent needs to continue the conversation. Search contacts by name, phone or email and filter their stage: Active, Negotiating or Closed. Client requirements and activity history stay with the contact profile.
Buyer and tenant requirements
Record the property category, city and location, budget and area ranges, and required features. A profile can represent an individual or a company.
Property matching by client requirements
Review active properties matching the saved criteria directly in the contact profile. Open a listing, check its details and prepare your proposal for the client.
Viewings and agent follow-up reminders
Record a call, meeting or viewing, link a property when relevant and set the next follow-up date. An internal reminder helps keep the agreed next step visible.
FROM INFORMATION TO ACTION
Working with a new buyer
Create a profile
In Business → Buyers and tenants, choose New contact. Add a name or company name, contact details and property requirements.
Review the matches
Save the contact and check the matching active listings. If nothing matches, review the budget, location and other requirements with the client.
Record the outcome
After a conversation or viewing, save the activity and update the status and follow-up date. A colleague with the relevant permissions can see the context.
IN EVERYDAY WORK
Example: a buyer changes their budget after a viewing
A buyer initially wants an apartment up to €120,000. After a viewing, they accept a budget of €135,000 but prefer another location. Update the requirements on the existing profile, record the reason and review the new matches. The conversation history stays with the same contact. Amounts are illustrative.
CRM contacts and AML dossiers serve different purposes
Creating a buyer or tenant does not automatically complete an AML dossier. CRM tracks requirements and communication; identification and risk assessments belong in the separate AML workspace with the relevant permissions.
GOOD TO KNOW
Questions before you get started
Does the CRM support both buyers and tenants?
Yes. Set up a contact as a buyer or tenant with their property requirements and current stage. Individual and company profiles are supported.
Are property offers automatically emailed to clients?
Matching shows suitable properties to the agent inside the app. It is not an automatic email campaign; the agent reviews the results and handles the client conversation.
How do follow-up reminders work?
Set the next follow-up date in the contact editor. The app uses it for an internal reminder in Notifications. Update the date after the conversation to reflect the next agreed step.
Can the team work with shared contacts?
Viewing and editing depend on each account’s agency permissions. The administrator manages access to contacts, properties, documents and other business modules.
Can I export real estate contacts to Excel?
Yes. In Buyers and tenants, open Export and choose XLSX for Excel, CSV or PDF. The export follows the current search and contact status, so set the filters for the contacts you need first.
